Job Description

  • This role needs to manage import and export documentation, ensure compliance with Malaysian customs and international trade regulations, and coordinate end-to-end shipping processes. The role involves liaising with freight forwarders, verifying billing accuracy using Excel, issuing shipping notifications, and tracking cargo movements.

Key Responsibilities

  • Responsible for preparing import and export documents for finished goods and raw materials (e.g., commercial invoice, packing list, certificate of origin), ensuring compliance with Malaysian customs and international trade regulations.
  • Follow up on customs declaration submissions, coordinate clearance procedures, and handle exceptions caused by documentation issues (e.g., customs inspection, supplementary documents).
  • Liaise with freight forwarders to obtain shipping quotes, coordinate booking, and monitor cargo transportation status.
  • Verify freight forwarder billing using Excel functions for data comparison to ensure cost accuracy.
  • Prepare and issue “Shipping Notification” forms to synchronize with the warehouse and commercial teams.
  • Track the end-to-end shipping process from dispatch to delivery, promptly address issues such as delays or cargo damage, and keep relevant parties updated on progress.
  • Proficient in using SAP or customs-related systems to maintain import/export master data and monitor SAP posting status.
  • Regularly generate logistics cost analysis reports to optimize transport plans and reduce overall costs.
  • Any ad-hoc tasks as per assigned by manager.

Qualifications Required

  • Education: Bachelor's degree or above in Logistics Management, International Trade, Supply Chain, or related fields preferred.
  • Experience: 2–3 years of hands-on experience in import/export logistics, familiar with Malaysian customs procedures and major ports. Practical experience in freight forwarder coordination, cost verification, and exception handling.
  • Language: Fluent in both Chinese and English (listening, speaking, reading, and writing).

Preferred Skills

  • Proficient in Excel functions and MS Office software (Word, PowerPoint, Outlook). SAP or customs system experience is preferred.
  • Knowledge of LMW (Licensed Manufacturing Warehouse) is an added advantage.
